This training hub supports two key user groups:

  • Employees, who can view payslips, request annual leave, submit overtime, and claim mileage.
  • Line Managers, who are responsible for approving annual leave, timesheets, and expenses.

Employee Self-Service

This section provides guidance on using Employee Self Service (ESS) within iTrent. ESS allows employees to manage key tasks quickly and securely, including viewing payslips, requesting annual leave, submitting overtime, and claiming mileage.

In this area, you’ll find manuals and videos designed to help you get up and running with the system. The materials below will guide you through logging in, navigating and moving around the system, understanding what the various symbols mean, and becoming familiar with the initial system views and your own personal data.

When downloading your payslip, this will download according to your Browser settings.

Employees will need to log into the system to see their Payslips, they will not receive a notification.

Annual Leave is held in decimal hours. 

Yes, the bank holiday hours will be included in the total entitlement. The hours for the bank holiday will appear as booked time off, so it will not impact your remaining hours. The remaining hours will show the time that is available for you to book. 

The salary details is shown in the contract details screen. This screen shows both the FTE Salary and the Actual salary pro rated to the employees FTE 

No, not all changes will be notified to managers. 

Only a Manager, Business Manager or Administrator, can amend working weeks. 

All mandatory fields will be prefixed with a * to indicate it is a mandatory field. 

No, leave requests will not automatically generate Outlook calendar entries for employees or managers at go-live. We will investigate the possibility of this functionality after the system is live.

Manager Self-Service

As a Line Manager, your role in iTrent goes beyond accessing individual employee records — it also includes key tools to help you manage your team effectively. This functionality is part of what’s known as Manager Self-Service (MSS).

This includes approving annual leave, reviewing timesheets, and authorising expenses.

Manager Self-Service FAQs

Yes, if Annual Leave is being managed in iTrent by your organisation, then employees will record their own annual leave. If it is ever the case that an employee is unable to add their own leave, it is possible for a manager to add it on their behalf.

The system does allow an overlap so a Manager must remove the annual leave entry if the employee is still off sick.

The comment box when you approve hours isn’t mandatory so you don’t need to type it into the box. However, if you are rejecting the hours it is best practice to add a comment as to why the hours are rejected.
