iTrent Training Materials – Delt
Welcome to your iTrent training hub.
We have introduced iTrent, a modern HR and Payroll system that replaces CoreHR. iTrent brings together key processes like managing absences, timesheets, and expenses into one easy-to-use system — making everyday tasks simpler, more consistent, and more efficient. Ultimately, it will improve your user experience.
It expands the range of functions too, while ensuring that all the basic HR and payroll functions we need to pay you all remain in place.
This training hub supports two key user groups:
- Employees – For employees who currently use CoreHR to view payslips, request annual leave, submit overtime, and file mileage claims.
- Line Managers – Managers who approve annual leave, timesheets, and expenses.
Training sessions have already been delivered, but this page gives you access to supporting materials you can dip in and out of whenever you need — including video replays and topic-specific guides. These will be updated as the system evolves, so feel free to revisit them anytime for a refresher.

Employee Self Service
iTrent provides you, as an employee, a dashboard from which to access all of your information and tools from a single point that is referred to as ‘Employee Self Service (ESS)’. The ‘Employee Dashboard’ provides widgets and menus to give you access to functions associated with the ESS model including the following:
- view and update your personal data
- access your personal security settings
- view your payslip and base pay details
- view the status of any claims that you have made
In this area, you’ll find manuals and videos to help you get up and running on the system. Below you’ll find materials to help you:
- Login
- Navigate and move around the system, getting you used to what the various symbols mean and how to use them
- Initial views of the system and your own personal data

Manager Self Service
As a Line Manager, your role in iTrent goes beyond accessing individual employee records — it also includes key tools to help you manage your team effectively. This functionality is part of what’s known as Manager Self Service (MSS).
Through MSS, you’ll be able to complete a range of tasks relevant to team and service management including:
- Viewing your team’s details, including positions and employee records
- Approving or rejecting requests such as annual leave, timesheets, and expenses
- Managing team absences
- Completing performance reviews

Answers to Your Questions – All in One Place

When downloading a payslip - where will it go?
Will employees get an email to say that the payslip is now available on iTrent or do they just have to remember to check?
Will the balance information be in days or hours?
Annual Leave is held in decimal hours.
Are bank holidays included in the total?
Yes, the bank holiday hours will be included in the total entitlement. The hours for the bank holiday will appear as booked time off, so it will not impact your remaining hours. The remaining hours will show the time that is available for you to book.
I am part time does the salary in the salary screen reflect this?
The salary details is shown in the contract details screen. This screen shows both the FTE Salary and the Actual salary pro rated to the employees FTE
Will managers receive a notification of all changes made by staff? gle title
No, not all changes will be notified to managers.
Can you amend the working week?
Only a Manager, Business Manager or Administrator, can amend working weeks.
How do you tell if it's a mandatory or optional field?
All mandatory fields will be prefixed with a * to indicate it is a mandatory field.
Will leave requests automatically generate Outlook calendar entries for employees and managers?
No, leave requests will not automatically generate Outlook calendar entries for employees or managers at go-live. We will investigate the possibility of this functionality after the system is live.
Will historical payslips be available within iTrent, or do we need to download all payslips from CoreHR before go live?
Please ensure you download any documents you may need from CoreHR — such as payslips and P60s — before access ends on 20 June 2025. After this date, the system will no longer be available.
Does the employee add their annual leave request not the manager?
Yes, if Annual Leave is being managed in iTrent by your organisation, then employees will record their own annual leave. If it is ever the case that an employee is unable to add their own leave, it is possible for a manager to add it on their behalf.
What happens when an employee goes sick but has already booked a holiday? Does that generate a query that we need to remove the absence?
The system does allow an overlap so a Manager must remove the annual leave entry if the employee is still off sick.
Do you need to type 'approved' as well as approving overtime?
The comment box when you approve hours isn’t mandatory so you don’t need to type it into the box. However, if you are rejecting the hours it is best practice to add a comment as to why the hours are rejected.
Will individual employee's be able to edit their own individual working pattern (affecting annual leave and sickness entitlement) or will this only be accessible for line managers?
No – this will be the responsibility of the managers/ business managers or administrators.
